Sending Invoice Reminders with Faster Suite

Sending monthly reminders to clients to remind them to pay their bills can be tedious work.  Luckily, Faster Suite allows us to configure email templates and automatically send invoice reminders to lots of people all at once.

Drafting Reminders

Let’s start by opening the Mail tab on the Faster Ribbon and selecting Invoice Reminders.

The first thing we should do with this window is configure some templates.  We can type in a subject and a body for an email and include Clio fields by using the ellipsis buttons, then click the Save As Template button to add this content to our list of templates.  We can then double click a template on the right to load the subject and body from that template.

On the bottom, we have some options.  We can choose to attach an HTML version of each invoice to each email we generate, choose to send the email to every email address for a client instead of just their primary email address, and choose to send emails automatically after they’re generated.  Faster Law recommends manually sending emails the first few times just to be sure the information populates the way it’s supposed to.


Selecting Recipients

When we click next, we’ll see a list of all of our outstanding Clio bills.

We can filter this list using the text field at the top, or by using the funnel icons above each column to filter by that column.  We can also sort the list by any column simply by clicking on each column.  We’ll just select the bills we would like to send reminders for and click Next.


Sending Reminders

If we chose to automatically send emails, we will see the emails appear and then disappear once they’re sent.

If we chose not to send the emails automatically, we can view each email to make sure everything looks right.  Notice that if we selected two or more bills for the same client, we still only get one email for that client that includes a copy of each bill.

When we’re ready, we can just click Send on each email to remind our clients of their outstanding bills.
